Job Description:

The Administrative Assistant position provides administrative and secretarial support for the branch. In addition to typing, filing and scheduling, the Administrative Assistant will perform duties such as financial record keeping, payroll, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The Administrative Assistant will also answer non-routine correspondence and assemble highly confidential and sensitive information. The Administrative Assistant will work with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

Responsibilities

  • Professionally administer all incoming calls
  • Ensure phone calls are redirected accordingly
  • Greet guests in a professional, friendly, hospitable manner
  • Open and close visitor area (locking doors, closing blinds, turning off lights)
  • Type memos, correspondence, reports, and other documents
  • Perform a variety of clerical duties
  • Will take and retrieve messages for various personnel
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information
  • Received, sorts and forwards incoming mail. Maintains and routes publications
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies
  • May also assist with other related clerical duties such as photocopying, faxing, filing and collating

Qualifications

Education

A high school diploma or GED is required

Experience & Skills

  • 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and experience.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Requires solid written and verbal communication skills
  • Demonstrated mechanical aptitude
  • Excellent phone etiquette
  • Strong analytical, conceptual and planning skills are required
  • Excellent math skills and overall PC literacy (Microsoft Office) are required
  • Must be detail oriented, self-motivated and disciplined with the ability to multi-task
