The Illinois Refining Division is seeking a full-time Administrative Assistant for the Safety Department. Position will report to the Safety Supervisor. Successful candidates must be able to prioritize work assignments and maintain confidentiality of record information. This position will enter and verify data records in appropriate formats into various systems, track and verify the quality of data entry from all sources, interact with other departments to resolve problems and inquiries, and maintain efficient data and information flow. This position will also perform limited data analysis and generate various reports.
-Position is approved for grades N2-N3 dependent upon candidate education and experience.
-This position is not eligible for relocation.
Supports and assists with the preparation of departmental reports, including KPI reports.
Develops and maintains necessary records and files for efficient operation of the Safety Department.
Reviews documents and saves them in a systematic and logical manner in assigned document management systems.
Assist with development of training materials and presentations.
Maintain department calendar of events, schedules, and routine meetings and makes travel arrangements.
Collaborates with Document Control to maintain IRD HES&S SharePoint site ensuring content is current, accurate and relevant in accordance with established requirements.
Manages the completion of expense reports related to training and travel, reviews for accuracy and in accordance with policies.
Maintains spreadsheets to track departmental expenses, review coding of expenses, and issue requisitions as directed.
Participates in the development, review, and implementation of HES&S standards.
Assist with the composition, proofing and editing of letters and memoranda from verbal direction or from knowledge of Company policies and procedures.
Assist in finalizing external communications to agencies, track submitted documentation for proper reporting and record keeping.
Prepares copies, collates, binds, and distributes reports and presentations as needed.
Minimum (Required) Qualifications
High school diploma or equivalent.
A valid driver’s license.
Must be authorized to work in the U.S. on a full-time indefinite basis without the need for employment visa sponsorship now or in the future.
Preferred Qualifications
Associate degree in Environmental or Health and Safety discipline.
Three plus years of clerical/administrative support experience.
Experience supporting Environmental, Health, and Safety (EH&S) standards, policies and practices.
Experience in an industrial environment or petroleum refining, logistics, or petrochemical industries.
