Job Description:
The Programme Administrator will support delivery and European Technology projects across the portfolio. The Role is an essential point of contact for all European Technology projects. Therefore, it is important that they build appropriate and effective relationships with internal teams and suppliers, across several projects running simultaneously, along with other IT-related functions. The role will be 50% office-based at our London HQ with frequently planned travel to data center locations in the UK and Europe.
The Role:
- Raise and manage PO's ensuring all costs are attributed to the correct budget, cost categories, and vendors.
- Ensuring vendors invoice according to good and service delivery in a timely manner.
- Track and record delivery of all goods and services to support timely recording of delivery and accruals.
- Develop a good knowledge of the financial systems and processes to support the technology function as a finance operations point of contact.
- Accurately maintain project financial trackers to ensure visibility of current project financial positions.
- Work with the Programme and Project Managers to support/eliminate blockers.
- Schedule regular meetings and record decisions (e.g., assigned tasks and next steps).
- Prepare and provide project documentation to internal teams and key stakeholders.
- Coordinate inputs from the team for preparation of management reports, weekly, monthly, and ad-hoc for senior management and the PMO.
- Assist and support the EU Technology Portfolio Team.
- Organize and attend stakeholder meetings.
- Provide administrative support on PMO Management travel booking, and room booking.
- Be the point of contact for all activities being delivered and supported by the IT PMO Group.
- Own, compile, and publish weekly, bi-weekly, and monthly PMO projects risks, and issues activities.
Minimum Requirements
- Proven experience providing coordination support to complex business functions
- Proven experience providing administrative and financial support to project managers
- Highly organized, self-motivated, and able to work on own initiative and without supervision
- Diligent, with attention to detail
- Ability to cope successfully under pressure and with shifting priorities
- Professional and positive
- Working within structured business processes and regulated procedures
- Excellent communication skills, both written and spoken English
- Strong Microsoft Office skills; able to manipulate data in Excel spreadsheets
- Able to develop and maintain effective working relationships within the team and with other departments.
