Overview

As a member of the Supreme Secretary's staff, the main focus of the job is preparing official minutes from various Executive meetings and preparing materials for quarterly Board Meetings. Secondary responsibility is providing backup administrative support for Supreme Executives including scheduling appointments and meetings, handling incoming communications, filing, and performing various other administrative duties. Provides coordination and administrative support for special projects and committees. Maintains confidentiality.

The Executive Administrative Assistant is required to be onsite five days per week.

Core Responsibilities

  • Assists in preparation for quarterly Board Meetings, including tracking, monitoring, and following the progress of open action items.
  • Prepares official minutes of Executive meetings, maintains records, and researches incoming inquiries.
  • Assists with and provides research/background information, and content development.
  • Answers and screens emails, accepting and providing information. Replies to the email, if possible. Manages external contacts for supervisor proactively understanding who they are, and which are priority contacts; keeps track of periodic communication needed for priority contacts.
  • Types of various documents. May compose letters or memos. Performs specialized or confidential secretarial work.
  • Maintains supervisor’s schedule. Arranges appointments and meetings, frequently with other senior-level individuals outside the organization as well as internal departments.

Preferred:

  • Knowledge and understanding of the KofC organization desirable, Ingenium,

Education Required:

  • Associate's degree
  • 5-7 years of experience in a related field or equivalent combination of training and experience

Compensation

The wage range for this role takes into account a broad array of factors that are considered in making compensation decisions, including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The range below applies as long as the work is performed in Connecticut; the Knights of Columbus reserves the right to adjust the wage range if the position is performed in another location. At the Knights of Columbus, it is not typical for an individual to be hired at or near the top of the range for their role, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $49,200-,76,200.

Authorization to work in the United States is required

Physical Demands Must be able to remain in a stationary position for the majority of the workday.
