Title: Promotional Merchandise Production Manager

Reports To: Director of Production

Location: Hybrid-remote (requires in-person reporting 2x/week, Cedar Park, TX, warehouse)

Summary

Reporting to the Director of Production, the Promotional Merchandise Production Manager works closely across Haute departments to ensure projects are executed flawlessly.

Drives all aspects of project management contributing to creating successful events and programs via print production (including pop-up, banner-style displays), branded promotional merchandise and custom gifts, and other goods and supplies. Responsible for sourcing, procurement, record and project timekeeping, and on-time final delivery of goods and services. The position performs a variety of tasks requiring detail, organization, and speed.

ESSENTIAL DUTIES + RESPONSIBILITIES

  • Gather project requirements and manage all agency print & merchandise production aspects on behalf of the client, working with vendors on delivery timelines and maintaining updated status of assigned projects.
  • Exemplify exceptional communication skills with clients and across internal departments and a willingness to identify solutions when challenges arise.
  • Sourcing goods and services, including identifying potential new vendors, as directed.
  • Maintain internal project management system (Wrike) with required tasks, deadlines, and updates to ensure full transparency across agency teams. This includes customer quotes, purchase orders, and invoices etc.
  • Reconcile all purchases in project budget, including net cost, vendor, vendor invoice number and PO number.
  • Maintain excellent working relationships with key vendors.
  • Collaborates with Warehouse team to fulfill project requirements and alerts the team of incoming shipment timelines, providing tracking information.
  • Provide high-quality customer service, communicating to clients with appropriate and relevant status updates.
  • Escalate production issues immediately to management.
  • In collaboration with the Strategic Sourcing Team, investigate potential suppliers and make recommendations based on knowledge of manufacturing limitations, supplier facilities, and schedule availability to derive cost efficiencies for projects or campaigns.
  • Organize, plan and coordinate assigned project based on due dates
  • Creates purchase orders and submits invoices for payment.
  • Setup new Merchandise-only projects as needed with Accounting, and using Salesforce, Wrike, Box and TimeCamp.
  • Maintains and enters accurate project-related time accruals in TimeCamp daily.
  • Takes ownership and maintains the Production inbox, checking it multiple times daily and responds to incoming inquiries within 24 hours of submission.
  • Performs other duties as assigned or required.

Minimum Qualifications

  • 3 years’ Production experience in a Creative Agency environment
  • Bachelor’s degree or equivalent experience
  • Hybrid position requiring travel to the Haute Warehouse location in Cedar Park, TX, minimum of 2 days/week and as needed to fulfill project requirements.
  • Intermediate proficiency with MS Office, Excel, PowerPoint
  • Experience with promotional products/branded merchandise, vendors, pricing and process to include on-time and in-budget sourcing of printing, promo merch and event signage.
  • Preferred: Working knowledge of Wrike, Box and Slack
  • Preferred: QuickBooks experience, specifically PO creation and maintenance

Physical Requirements
