Job Description:

NSLS-II is seeking a part-time administrative support person who will be responsible for performing both routine and non-routine administrative office matters that include but are not limited to processing travel; coordinating workshops and reviews; processing credit card and ePro orders; and coordinating and scheduling meetings. The successful candidate will provide administrative assistance to several groups within NSLS-II and rotate throughout the department where needed.

Position Description

Essential Duties and Responsibilities:

  • The primary responsibility for this position is to perform complex and recurring administrative tasks.
  • Interact with all levels of department staff and internal and external BNL contacts/vendors.
  • Manage simultaneous and competing priorities and meet deadlines.
  • Support staff and user travel, preparing foreign & domestic travel itineraries, TA’s, and ERs.
  • Assist with planning and coordination of conferences, workshops, reviews, and meetings;
  • Facilitate meetings and reviews

Required Knowledge, Skills, And Abilities

  • Some form of secretarial or office administration training, plus six years of experience in substantive and relevant administrative, secretarial, clerical, or other responsible work which provides evidence of the knowledge, skills, and abilities necessary to perform successfully the duties of the position. An associate or bachelor’s degree with coursework, or training, specifically related to the position requirements may offset qualifying experience of 2:1 (experience: college) years.
  • Demonstrated proficiency in MS Office Suite
  • Demonstrated proficiency in Concur and/or Travel Software
  • Effective communication, organizational, and problem-solving skills
  • Able to work both independently and as part of a team

Preferred Knowledge, Skills, And Abilities

  • Familiarity with PeopleSoft Financials, PeopleSoft HR, Workday
  • Experience maintaining and managing a business credit card
  • Experience arranging conferences and meetings, and travel

  • Brookhaven Laboratory is committed to providing fair, equitable, and competitive compensation. The full salary range for this position is $55800 - $80900 / year. Salary offers will be commensurate with the final candidate’s qualification, education, and experience and considered with the internal peer group.
